Refund and Cancellation Policy
Effective Date: [Date]
This Refund and Cancellation Policy forms part of the Terms and Conditions governing the use of [Company Name] (“the Service”).
1. Subscription Billing
Subscriptions are billed in advance on either a monthly or annual basis, as selected by the Customer at the time of purchase.
Subscription fees are exclusive of VAT unless otherwise stated.
Payment is due immediately upon invoice or by the agreed payment method.
2. Automatic Renewal
Subscriptions automatically renew at the end of each billing period unless cancelled before the renewal date.
By maintaining an active subscription, the Customer authorises the Company to collect the applicable subscription fees using the selected payment method.
3. Cancelling a Subscription
Customers may cancel their subscription at any time through the Service or by contacting support.
Cancellation prevents future renewals only.
Access to the Service continues until the end of the current paid subscription period.
No partial refunds are provided for unused time.
4. Annual Subscriptions
Annual subscriptions are prepaid for the full subscription period.
Unless otherwise agreed in writing, annual subscriptions are non-refundable after the subscription has commenced.
5. Monthly Subscriptions
Monthly subscriptions are billed in advance.
Cancellation takes effect at the end of the current billing period.
Unused portions of a billing period are not refundable.
6. Refunds
As the Service is provided to business customers only, subscription fees are generally non-refundable.
Refunds may be issued at the Company’s sole discretion where:
- duplicate payments have been made;
- billing errors have occurred;
- the Company agrees to cancel before service commencement.
Any discretionary refund does not create an obligation to provide refunds in future cases.
7. Failure to Pay
If payment cannot be collected:
- access to the Service may be suspended;
- features may be restricted;
- outstanding invoices may become immediately payable;
- the Company may terminate the subscription.
The Customer remains liable for all unpaid fees.
8. Data Following Cancellation
Customers remain responsible for exporting their data before the subscription expires.
Following termination, Customer Data may be retained for up to 30 days to allow retrieval where technically practicable.
After this period, Customer Data may be permanently deleted.
The Company has no obligation to recover deleted data.
9. Price Changes
The Company may change subscription pricing by providing at least 30 days’ notice.
Revised pricing will apply from the next renewal date.
